Sign Generator

Design and development of an internal tool for Toteat salespeople and other teams.

The signature is generated automatically from the user's details, along with a dynamic promotional banner that changes by country, ensuring consistency and personalization in client-facing corporate communication.

The problem

The sales team was using inconsistent signatures in Gmail, which undermined brand consistency in client communication.

There was no visual standard and no system for including promotions or incentives. The challenge was to build a solution that generated uniform, personalized signatures with dynamic messaging that changed based on the country entered, ensuring a professional identity in every email, all in the simplest way possible.

The challenge

The main challenge was making sure the signature kept its structure and styles when copied and pasted into Gmail's signature manager. This was solved using HTML tables, so the signature doesn't lose its structure when used in email.

Inputs

To generate a signature, the user enters a name, job title, phone number and country. If an image other than the current campaign's is needed, it can be uploaded in the last section.

Outputs

On the right side of the product there's a preview of the signature, along with a short description and two secondary buttons: one to copy the signature to the clipboard, and another linking to Gmail to continue the process. Here is an example as if Gordon Ramsay were a Country Manager.

Toast Notification

When the signature is copied successfully, a message appears at the bottom of the screen.

Spacing

To keep the product consistent, a simple spacing scale of 6, 8, 12, 16 and 32 pixels was used.

Colors and design

Based on Toteat's current Design System. It uses the brand colors and the same element structure found across their digital platform.

A note on the build

This project was designed and shipped in the pre-AI era, when every piece of it had to be built by hand. I've since rebuilt it as a fully working version on Lovable, available at sign-your-mail.lovable.app. It's password protected, since a tool that generates convincing corporate signatures is an easy target for phishing and social engineering.
